How to add an account to outlook for PC / MAC / Android / iPhone

I. Add a Microsoft 365 Account in Outlook – Windows (Classic Desktop)

  1. Open Microsoft Outlook.
    • Launch Outlook from your desktop or Start menu.
  2. Go to File.
    • Click File in the top-left corner.
  3. Click ‘Add Account’.
    • Under Account Information, click + Add Account.
  4. Enter Your Microsoft 365 Email Address.
    • Type your full Microsoft 365 work or school email (e.g. [email protected]).
    • Click Connect.
  5. Sign in to Microsoft 365.
    • Enter your password when prompted.
    • If redirected, complete the sign-in through the Microsoft login window.
  6. Complete Multi-Factor Authentication (if required).
    • Approve the sign-in via your organisation’s MFA method (e.g. Microsoft Authenticator app, SMS, or phone call).
  7. Finish Setup.
    • Click Done when Outlook confirms the account has been added.
    • Your mailbox will begin syncing.

Expert Tip:
Microsoft 365 accounts use Exchange Online, which automatically configures server settings. Manual configuration is rarely required.


II. Add a Microsoft 365 Account in Outlook – Mac

  1. Open Microsoft Outlook.
    • Launch Outlook from your Applications folder or Dock.
  2. Go to Preferences.
    • In the top menu, click Outlook > Settings (or Preferences depending on version).
  3. Click ‘Accounts’.
    • In the settings window, click Accounts.
  4. Click the ‘+’ Button > New Account.
    • At the bottom-left of the Accounts pane, click the + sign and select New Account.
  5. Enter Your Microsoft 365 Email Address.
  6. Sign in to Microsoft 365.
    • Enter your password, then complete MFA if prompted.
  7. Allow Permissions.
    • If asked to allow Outlook to access account data, click Accept.
  8. Account Added.
    • Outlook will begin syncing your Microsoft 365 mailbox.

Expert Tip:
Ensure your version of Outlook for Mac supports Microsoft 365. Microsoft 365 accounts are best supported in the New Outlook interface.


III. Add a Microsoft 365 Account in Outlook – Android

  1. Open the Outlook App.
    • Install from the Google Play Store if not already installed.
  2. Tap ‘Add Account’.
    • First-time users: tap Get Started.
    • Existing users: tap your profile icon > Settings (gear icon) > Add Account > Add Email Account.
  3. Enter Your Microsoft 365 Email Address.
  4. Sign in to Microsoft 365.
    • Enter your password and complete sign-in.
    • If redirected, complete sign-in in the Microsoft login window.
  5. Complete MFA (if required).
    • Approve the login using your organisation’s method (e.g. Microsoft Authenticator).
  6. Allow Permissions.
    • Grant permissions to access contacts, calendars, and notifications.
  7. Inbox Will Sync Automatically.

Expert Tip:
Always use the Outlook app for Microsoft 365 accounts. Native mail apps may lack full support for Microsoft’s security and sync features.


IV. Add a Microsoft 365 Account in Outlook – iOS (iPhone/iPad)

  1. Open the Outlook App.
    • Download from the App Store if needed.
  2. Tap ‘Add Account’.
    • First launch: tap Get Started.
    • Already using Outlook? Tap your profile icon (top left) > Settings (gear icon) > Add Account > Add Email Account.
  3. Enter Your Microsoft 365 Email Address.
  4. Sign in to Microsoft 365.
    • Enter your password, then complete MFA if required.
  5. Grant Permissions.
    • Allow access to notifications, calendar, contacts, etc., when prompted.
  6. Your Mailbox Will Begin Syncing.

Expert Tip:
Do not attempt to add Microsoft 365 accounts via Apple Mail unless instructed by IT, as it may lack full security policy enforcement.


Common Mistakes & How to Avoid Them

⚠️ Incorrect Email Format:
Use your full Microsoft 365 address (e.g. [email protected]), not an alias or user ID.

⚠️ Forgetting MFA Requirements:
If your organisation requires MFA, ensure your device is ready with the Microsoft Authenticator app, and your login method is up to date.

⚠️ Password Issues or Expired Credentials:
Check password validity by logging into https://portal.office.com first. Reset if needed.

⚠️ Attempting Manual Setup:
Manual configuration (IMAP/SMTP or Exchange settings) is not recommended. Use automatic setup unless advised by IT.

⚠️ Using Outdated App Versions:
Update Outlook on all platforms to ensure compatibility with Microsoft 365 features like conditional access, shared mailboxes, and modern authentication.

⚠️ Using Native Mail Clients:
While possible, native email clients (like iOS Mail or Samsung Email) may not fully support Microsoft 365 policies or features such as encryption and shared mailboxes.
